Position Overview:
We are seeking a responsible full-time Administrative Assistant/Accounting Clerk to join our team. This role involves performing a variety of administrative and clerical tasks, as well as assisting with accounts payable and accounts receivable.
Key Responsibilities:
- Bookkeeping including accounts receivable, accounts payable, and waivers of lien.
- Processing invoices, issuing payments, and managing payroll.
- Fielding phone calls, directing calls, and taking messages.
- Filing and organizing job and bid-related documents.
- Balancing paid bills at the end of projects.
- Scanning, recording, and filing various documents such as credit applications, W-9s, and insurance certificates.
- Greeting and directing visitors to appropriate personnel.
- Managing internal and external mail distribution.
- Updating job, employee, vendor, and union information in Foundation.
- Other administrative tasks as required.
Secondary Responsibilities:
- Management of office equipment service and supplies.
- Making coffee on assigned weeks.
- Running necessary errands (bank, post office, UPS, picking up lunch).
- Capable of performing as Office Manager when needed.
Critical Skills and Knowledge:
- Proficiency in Microsoft Office.
- Typing speed of 55 WPM or greater.
- Basic math skills.
- Familiarity with office equipment including fax machine, copy machine, and computer.
- Excellent communication and organizational skills.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Strong attention to detail and accuracy.
- A proactive approach to problem-solving and a willingness to take initiative.
- Ability to work both independently and as part of a team.
Expected Results:
- Timely completion of work requests.
- Building strong relationships with employees, architects, customers, subs, and suppliers.
Attributes:
- Ability to perform other administrative tasks as required.
- Comfortable working in a semi-pressured position.
- Ability to work in a small, family-owned business environment.
- Professional and friendly phone etiquette.
Qualifications:
- Minimum of 2 years of administrative and/or accounting experience is ideal.
- Open to new graduates and individuals willing to learn.
- On-the-job training will be provided to ensure success in the role.
